Terms of Service for Research Assistant in Slack

These Terms of Service (“ToS”) govern the use of the Research Assistant integration within Slack (“RA in Slack”) provided by Survicate S.A. with its registered office in Warsaw (postal code 02 – 786) at ul. Zamiany 8 LU2, entered into the register of entrepreneurs of the National Court Register kept by the District Court for the capital city of Warsaw in Warsaw, 13th Commercial Division of the National Court Register under KRS number: 0001021023, NIP number: 9512390641, fully paid-up share capital: PLN 300,000.00, contact e-mail address: support@survicate.com (“Survicate”). By enabling and using this feature, you acknowledge and agree to comply with these terms.

1. Introduction

1.1. These Terms of Service (“ToS”) govern the use of the Research Assistant integration within Slack (“RA in Slack”) provided by Survicate S.A. with its registered office in Warsaw (postal code 02 – 786) at ul. Zamiany 8 LU2, entered into the register of entrepreneurs of the National Court Register kept by the District Court for the capital city of Warsaw in Warsaw, 13th Commercial Division of the National Court Register under KRS number: 0001021023, NIP number: 9512390641, fully paid-up share capital: PLN 300,000.00, contact e-mail address: support@survicate.com (“Survicate”). By enabling and using this feature, you acknowledge and agree to comply with these terms.

1.2. By enabling RA in Slack, you acknowledge that you have read and understood these Terms of Service and agree to be bound by them.

1.3. By enabling RA in Slack, you confirm that you have the authority to represent your organization and agree to these ToS on its behalf.

1.4. This ToS is an extension of the general Survicate Terms of Service. In case of any conflicts, these specific ToS for RA in Slack shall prevail for matters concerning this integration.

2. Service Description

2.1. RA in Slack allows users to interact with Survicate’s Research Assistant directly from their Slack workspace. Users can:

  1. Enable RA in Slack via Slack > Settings.
  2. Highlight messages in Slack, select "Ask Survicate", and submit queries.
  3. Receive AI-generated responses, either publicly in Slack channels (@Survicate {query}) or privately (/Survicate {query}).
  4. Click links in responses to access feedback in Survicate.

2.2. Once enabled, anyone in the Slack workspace—including users without a Survicate account—can submit queries, subject to their Slack permissions.

3. Data Collection & Processing

By using RA in Slack, you acknowledge that Survicate will process the following data:

3.1.1. The author’s name is collected from Slack (real_name_normalized field).

3.1.2. The Slack workspace logo will be used as a generic avatar for all users submitting queries.

3.1.3. For respondents whose feedback is queried - Visitor (Respondent) Data:

  1. Visitor UUID
  2. Attributes passed via traits or survey URLs
  3. IP address, browser language, OS version, device type
  4. Email address (if surveys are distributed via email links)
  5. Responses to surveys (Survicate does not analyze content except for troubleshooting technical issues)

4. AI Processing

4.1. RA in Slack uses OpenAI’s GPT models (API Services).

4.2. OpenAI hosts models in a public cloud and operates under Cloudflare infrastructure.

4.3. Data is processed solely for service delivery purposes and is not used for model training unless explicitly agreed by the user.

4.4. Data retention:

  1. Queries submitted through the API are stored for a maximum of 30 days before deletion.
  2. OpenAI may retain anonymized data for system improvement, but such data does not identify users.

5. Security & Compliance

5.1. Survicate ensures compliance with GDPR and other applicable data protection regulations. Users are responsible for ensuring their queries comply with privacy laws.

5.2. Users should be aware of potential security risks. Since individuals without a Survicate account can submit queries, organizations need to evaluate and manage their internal Slack access controls to prevent unauthorized access. Public queries using @Survicate {query} may inadvertently disclose sensitive information in Slack channels that are accessible to multiple users. Survicate is not responsible for any data exposure caused by user actions.

6. Limitations & Disclaimers

6.1. AI Accuracy & Verification

  1. AI-generated responses may contain inaccuracies, outdated information, or biases.
  2. Users are responsible for verifying AI-generated insights before making business decisions.
  3. RA in Slack should not be used for legal, financial, medical, or any other professional advisory purposes.

6.2. Prohibited Uses

Users may not:

  1. Use RA in Slack to create competing AI models or reverse-engineer AI algorithms.
  2. Represent AI-generated content as entirely human-created.
  3. Use RA in Slack for spam, lobbying, or electoral campaigns.
  4. Use scraping, data harvesting, or automated extraction techniques.
  5. Input confidential or sensitive data unless explicitly permitted by an empowered officer of the organization.

6.3. Liability

  1. Survicate disclaims any liability for decisions made based on AI-generated output.
  2. Users agree to indemnify Survicate against any claims resulting from their use of RA in Slack.
  3. No uptime guarantees are provided for RA in Slack. Downtime caused by OpenAI is not included in Survicate's SLA calculations.
  4. Survicate’s total liability is limited also in accordance with general Survicate Terms of Service.

7. User Controls & Data Management

7.1. Users may request deletion of logs related to their queries.

7.2. Opt-out mechanisms for AI data processing may be available; users should refer to their account settings.

8. Miscellaneous

8.1. Survicate may modify these ToS at any time, and continued use of RA in Slack constitutes acceptance of any updates.
